When, how and why do we need your information?

Upon your first visit at Cognito Hair we collect your basic personal data so that we can get your desired hair care services booked in and so that we’re able to contact you if there are any changes to your appointment. 

We’ll also use your personal data to keep details of the unique service you have each time you visit us. We may share your personal information with a third party if the disclosure is required by the law.  

The data that we collect from you doesn’t include any special information about you, known as “sensitive personal data.”


Data storage –

To store your personal information, we use a salon software system called Phorest hosted by Amazon Web Services (AWS). This is a cloud-based system, where all your data and servers are located in Amazon’s secure data centres in Dublin, Ireland. We have ensured that data controllers who handle or may store your information outside the UK or EEA, for example through data servers or relays, adhere to the EU-US Privacy Shield

Phorest also uses an organisational provider called Infobip which processes SMS services using your mobile number stored in our salon software system to help us confirm and remind you of appointments you have booked.


Data storage through online booking and our app –

Phorest Cloud is hosted in a virtual private network (VPC), this virtual network is dedicated to Phorest and is where all of their servers and databases are hosted, in Amazon Web Services.

Phorest Cloud uses HTTPS protocol for all transmission of data from their clients to their system, all communication is encrypted.

Phorest databases are managed by Amazons RDS, these databases are backed up daily and retained for 15 days.  

Card details storage via online booking and our app.

Card details are stored by Stripe for online bookings via our website or app.

Website cookies –

Cookies are small text files that are placed on your computer or other device when you access the internet. Our site uses cookies to distinguish you from other users of our site and allow your preferences to be recorded when visiting the website.  This helps us to provide you with a better user experience when you browse our website and also allows us to improve our site.

Cookies may also be used to track your return visits and to remember your preferences when interacting with the website again.

You can choose to accept or decline cookies. Most web browsers automatically accept cookies, but you may modify your browser setting to decline cookies if you prefer.  Without cookies enabled, we can’t guarantee that the website and your experience whilst visiting are as we intended them to be.

Because we believe it’s important to keep you as informed as possible about the hair care products and services we offer, our website contains links to other websites run by other organisations. This Privacy Notice only applies to our website, so we’d encourage you to read the privacy statements on the other websites you visit. Unfortunately, we’re not responsible for the privacy policies and practices of other sites even if you access them using links from our website.


Google Analytics –

When you visit us at we use Google Analytics to collect standard internet log information and details of visitor behaviour patterns. We do this to find out which parts of our website gets visited the most. We do not allow Google to identify anyone or make any attempt to identify anyone who visits the website. Wi-Fi –

If you’re a visitor at Cognito Hair we’ll give you access to our guest Wi-Fi so that you can still carry on getting done the things that need to be done whilst getting your hair done. When you use our guest Wi-Fi we do not collect any personal information from you nor collect any data about your device or any information stored on your device.


Mailing and SMS Communication –

One of the things we request to collect from you upon your first visit is your mobile number and email address. We need to have your contact and email address on record for a few reasons; one, so that we can get in contact with you if there are any changes to your appointment or if we need to obtain additional information from you.

We use Phorest for all our email and SMS communications, to keep you up to date with information that you’ve asked us to tell you about and to ensure that you’re happy and satisfied with the hair care services we’ve provided you with.

We also gather statistics around email and SMS opening and clicks, to help us monitor and improve the information we’re sending you.

What are your rights?

Your personal information belongs to you and if at any point you would like us to remove your personal data or make necessary amendments to update your data, we’re more than happy for you  to do this by getting in contact with us at
